The time clock accessible from the Ordering Module is mainly used by employees to clock in and out. It also contains several shift-related reports and options. Select an option below for more information.
When employees first arrives for their shift they must clock in. This is done simply by pressing the Clock In button.
Once an employee is clocked in, the Clock In button will Change to Clock Out. Pressing this button will end the employee's shift and change the Clock Out button back to Clock In. Pressing the Clock In button again will begin a new shift for the employee.
This option toggles which of the employee's shifts is currently selected. This controls which shift is displayed in the panel on the left, as well as certain reports (see reports below).
The Break function is used when an employee needs to take an unpaid break during their shift. Pressing the Start Break button will begin the break; the button will change to Stop Break at this point.
When the employee's break is over, pressing the Stop Break button will end the break and the employee will begin accumulating paid hours again.
The Claim Tips option is used by employees to declare the amount of tips they received during their shifts. This does not affect the amount that is paid out to them at the end of their shift, this is used only for reporting purposes.
The Reports button opens a new menu, from which employees can print reports about their shift activity. The following options are available:
Report Type
Server
The server report displays the employee's shift activity broken down by tender type. It also includes totals with and without tips, as well as total sales, discounts, and number of orders.
Driver
The driver report displays similar information to the server report, but with an emphasis on delivery information. It displays the same tender type breakdown as the server report, but also shows the amount the driver must turn in at the end of their shift, as well as any reimbursement they receive.
Shift
The shift report is a general information report. It shows the total number of orders and total order amount for the shift, but does not have the detailed breakdowns that the driver and server reports do.
Detail Level
Show
This option will print a list of orders the employee took during the shift in question at the bottom of the driver or server report.
Show w/ Address
This will print a list of orders the employee took during the shift in question at the bottom of the driver report, and will print the street address to which each of the orders was delivered. This option is only available on the Driver report.
Hide
This will cause the report to display only the breakdown information. The individual line for each order will not be displayed.
Shift Options
Current Shift
This will set the report to only show numbers from the currently selected shift. The current shift can be changed with the Shift button, just below the Clock In / Out button.
All Shifts
This adds the numbers from all shifts the employee has on the current business day together to display a master total.
The Job option brings up a list of all jobs associated with the employee, allowing them to change which job type their shift is set to. Jobs are configured in the Edit Employee Jobs section of Employee Setup, which is found under the Updates menu.
The Availability module allows the employee to set their scheduling availability. The store's hours are displayed on a grid, the options at the bottom of the screen are used to modify the grid. The following options are available:
Range
The Range option is used to quickly change availability over a section of time; 4 PM to 8 PM, for example. This is used in conjunction with the Avail, Pref, and Unavail buttons (see below). Pressing the Range button once puts the system into range mode. Touch the beginning of the range, then touch the end of the range; everything in between those two points will be highlighted as well.
Earlier
This is a navigation button. It shifts the availability grid to display an earlier time of day.
Avail
While this option is selected every time slot pressed on the grid will be marked as Available, meaning that the employee can be scheduled during that time.
Pref
While this option is selected every time slot pressed on the grid will be marked as Preferred, meaning that the employee would prefer to be scheduled during that time.
Unavail
While this option is selected every time slot pressed on the grid will be marked as Unavailable, meaning that the employee would not like to be scheduled during that time.
Later
This is a navigation button. It shifts the availability grid to display a later time of day.
Except
This option allows the employee to set an "exception" availability; a special availability for a certain date range. When selected, a new window appears with a list of date ranges. Select the date range you wish to adjust, then adjust the availability as necessary. Once that date range has passed, the employee's availability will return to normal.
1 Hour / 30 Min
This button toggles the layout of the availability grid between displaying blocks of time in one hour increments or 30 minutes increments.
Cancel
This button exits the availability module without saving any changes that have been made.
Save
This saves the changes made to the availability and exits the module.
The Advanced menu contains extra employee setup options. Some options may not be available depending on system setup.
Use Bank
This option sets the employee to use a personal bank, meaning that any orders the employee takes will be settled to the employee personally rather than the till. This option in the time clock is designed for occasional use; for example, a cook who is filling in as a table server. If the employee is using a personal bank for every shift, the bank can be enabled on the Employee tab of the employee file.
Enroll Fingerprints
This option allows the employee to enroll their fingerprint in the system, tying it to their employee record. This option only appears if the station is configured to use a fingerprint reader.
This option exits the time clock module and returns the user to the ordering main menu.
